Before preparing your presentation and before coming to the WHTC 2017, please take a few minutes to read the following guidelines.

Oral Presentation


Your talk can be accompanied by PowerPoint presentation. The entire responsibility for the presentation’s content (order, graphics, etc.) is yours. All presentations and questions will be delivered in English, as English is the official language of the Convention. Time reserved for your presentation is 20 minutes – 15 minutes for speech and 5 minutes for discussion. We kindly ask all speakers to stick with the given time with respect to other speakers’ presentations within the session.

Once on-site, every speaker should also verify in the final programme and presentations’ changes schedule (at the Registration area) that the room and the time of the session have not changed.

Presentation Format

Aspect Ratio

The format of the screens to be used is 16:9 (widescreen). Presentations prepared in 4:3 format can be shown, however, be aware that they will not be shown on the full screen.

Linked Media Content

Do not forget, when saving your final presentation on a USB stick, to make sure that you include your video files (if any) and all links to any multimedia files.

File Type

Please make sure your presentation is in a widely used and compatible format. Prepare your presentation preferably using PowerPoint version 2016, 2013 or 2010 (although versions 2007 / 2003 are also supported).

Supported File Types Include

     - Presentation: PPT, PPA, PPTA, PPTX, PDF
     - Video: AVI, MPG, MKV, MOV, MP4, WMV
     - Audio: WMA, MP3, WAV
     - Pictures: JPG, GIF, BMP, TIF

Please note any other file types are not fully compatible with the onsite presentation system and the fluency of your presentation cannot be guaranteed. Any such file type should be consulted with the secretariat in advance in order to secure the best quality of your presentation.

Mac Users

If you create your presentation on Mac (Keynote), please keep the compatibility standards and Export the presentation to PowerPoint. Alternatively, you can save your presentation to PDF. Click here for help with saving the presentation in a compatible format.

From PowerPoint for Mac, please make sure to use Windows Office Compatible font set.

File Deposition

All presentations MUST BE downloaded to the local device, at least two hours before the presentation itself. You are kindly asked to bring your presentation on a USB stick to the SPEAKERS PREVIEW ROOM. Present technical assistants will help you to download the presentation to the local device and will allow you to check its content. The SPEAKERS PREVIEW ROOM will be accessible for placing your presentation following its opening hours:

Sunday, 9 July, 15:30 – 18:30
Monday, 10 July, 8:00 – 18:00
Tuesday, 11 July, 8:00 – 18:00
Wednesday, 12 July, 8:00 – 16:00

If your presentation is scheduled for a morning session we advise to place it in the SPEAKERS PREVIEW ROOM during the afternoon before.

Holding the Presentation

Once the presentation is launched on the computer in the respective lecture room, you will advance your own slides using the remote control.

Please note, coming at the last moment with your own computer will not be possible to manage technically and interrupting the session would be displeasing not only to you.



Poster Presentation

Poster Viewing Sessions

All posters can be displayed from Sunday, 9 July to Tuesday, 11 July.

Poster authors/presenters are expected to be present by their posters during the Poster session which will take place on Monday, 10 July from 18:10 – 19:30 at the Convention foyer.

Poster Dimension

The maximum dimensions of your poster are 90 cm wide and 120 cm high (portrait orientation).

In order to fit the poster board, your poster should not exceed the recommended size. Prepare your material beforehand so that it will fit neatly into the space available and can be easily attached to the board. Thin cardboard is more suitable than paper. The Convention organizers will provide suitable fixing materials, and on-site assistance will be available to help you display your poster.

Mounting and Removing your Poster

Posters will be displayed on poster boards; each will be given a specific number. Please make sure to mount your poster on the poster board with the number corresponding to the number assigned to your poster presentation (e.g. P 001, P 002, etc.). Information about the number of your presentation will be sent by email.

Your poster can be hanged on poster board on Sunday, 9 July (Registration opens at 15:30).

All materials must be removed by the owner of the poster until Tuesday, 11 July 19:30. Posters left behind will be removed by the Convention stuff and automatically destroyed. The Convention organizers are not responsible for loss or damage of those posters that are not removed by authors within the time of dismantling as indicated above.
