How to Make a Hotel Reservation

Online booking is part of the online registration form and is available for all delegates. If you are already registered, you can log in to the online registration form with your login details, select Edit registration option and add the accommodation booking request.

Delegates are advised to reserve accommodation by 16 April 2017. After this deadline requests will be accepted, however, hotel rooms are subject to availability and cannot be guaranteed.

The Convention Secretariat suggest to all delegates, NOT to use diacritics when making the reservation, in order to avoid misunderstandings, due to possible language/pronunciation differences between delegates and hotel staff.

General Conditions

All rates are stated including breakfast, service charge and local 15% VAT. Rooms at special rates are being held in hotels of different categories. Rooms will be allocated on a „first come, first served“ basis.

All rates are valid at the day of booking. Please note that the rates may change. In case of any rate change the Convention Secretariat is not obligated to refund any overpayment. If the statutory VAT changes, the rates will change accordingly and the difference will be charged.

Important / Please Note

Accommodation bookings for hotels Corinthia and Otar can be made directly during online registration for the Convention itself.

For better comfort and discounted rates for our delegates, accommodation booking for hotel Holiday Inn is managed via separate online application operated by hotel staff. You can access this application from the online registration form of the Convention, or just click here.

*Please note, that if you make a booking in hotel Holiday Inn via standard hotel website and not the Convention application, you will not receive discounted rate.

Payment Conditions

Full prepayment can be made by a credit/debit card or a bank transfer.

Bank transfer payments will be accepted until 12 June 2017 only.

All extra charges must be settled directly with the hotel upon departure.

By Bank Transfer

Please do not send any payments by bank transfer without the Registration Number and/or participant’s name included in payment details.

The payment by bank transfer is available until 12 June 2017. After this date, all payments can be done only by credit/debit card.

Online Payment by Credit/Debit Card

In case of rejected online credit/debit card payment, the delegate is recommended to log into the Online Registration Form and try to process the booking and the payment again. Should the trouble with the payment persist, the participant is advised to contact the credit/debit card issuer/bank first and check if online transactions are not disabled on the credit/debit card. Afterwards, the booking can be processed again.

Accepted Credit / Debit Cards:

All online payments are processed via GP webpay secure connection. GP webpay conforms to international standards and it meets the strictest safety requirements of the MasterCard SecureCode and Verified by VISA standards as defined by the MasterCard and VISA card associations. Transportation

No shuttle service will be provided “From” or “To” the airport by Convention Secretariat.

Cancellation / Change of Reservation

Hotel Holiday Inn

All changes to the accommodation can be made via the hotel online application or directly with the hotel staff here: reservation@holidayinn.cz.

Hotels Corinthia and Otar

All changes to accommodation booking must be notified in writing (by email) to Convention Secretariat and cannot be done online or over the phone.

*Please do not contact the hotel directly as reservations are held by C-IN. In case of later arrival other than reserved please inform the Secretariat to guarantee the room.

Cancellation / Refund Policy

Hotel Holiday Inn

For cancellation/reduction of reserved room nights please contact the hotel staff here: reservation@holidayinn.cz.

Hotels Corinthia and Otar

For cancellation/reduction of reserved room nights until 09 June 2017 20 EUR administrative fee will be deducted from the refund.

From 10 June 2017 a deposit of 1 night will be charged.

From 24 June 2017 all reserved nights will be charged and no refund will be processed (C-IN holds the right to charge your credit/debit card for all nights booked OR not to refund the full prepayment).

In case of no-show or later arrival or earlier departure all reserved nights will be charged.

Confirmation of Reservation and Final Bill

After completing the hotel booking, participant will receive a system notification that reservation request was received (please note this is not a confirmation of the room). Confirmation of the hotel booking will be issued only after the payment is received. This confirmation should be presented at the hotel reception during check-in.

Final bill for accommodation in hotel Corinthia and Otar will be issued by C-IN only upon request of the booker. The final invoice will be issued based on details provided while registering (step Contact/Invoice details). Any change of such details (address, VAT number etc.) in possible only within 3 days from the registering date. Later changes will be subject to the 20 EUR fee.

Final bill for accommodation in hotel Holiday Inn will be issued by hotel directly, upon request of the booker.

Check-in / Check-out

Check-in varies from noon until 15:00. Early check-in can be requested, but cannot be guaranteed. Early check-in is subject to the room availability on the day of arrival. Check-out is generally at 10:00. Late check-out is also subject to the room availability and some hotels may charge a daily rate for it.
